Job Description: Receptionist

Reports to: Director of Finance
Salary Range: $30,000 -$35,000
Term: Indeterminate
Closing Date: Open until filled
Location: Ottawa


The Receptionist is responsible for a wide variety of clerical office duties in support of company administration. This includes coordinating and communicating office activities, greeting and screening visitors, answering and referring inbound telephone calls, and scheduling appointments. The Receptionist will also be responsible for administering company correspondence. General duties

The NWAC Receptionist will:

  • Respond to telephone, e-mail, and in-person inquiries from clients, business partners, and other parties.
  • Provide information to callers.
  • Direct all inquiries to the appropriate staff member.
  • Receive and record telephone, e-mail, or written messages for staff members.
  • Ensuring staff movements in and out of the Association.
  • Type forms, letters, reports, and memos as necessary.
  • Receive and distribute all forms of paper correspondence.
  • Organize, maintain, and coordinate office records and files in their proper locations.
  • Where necessary, assist in the compilation of data for various reports.
  • Coordinate the logistical aspects of departmental programs, such as meetings, seminars, workshops, special projects, and events.
  • Arrange and book meetings in boardrooms, off-site conference halls, and other locations; ensure the appropriate presentation equipment is there and organize catering.
  • As a front-line worker, present a positive and professional image of the Association to all visitors, suppliers, inquiries, and other interactions.
  • Provide information to staff and/or clients about special activities.
  • Schedule appointments for interviews.
  • Ensure all forms and reports are completed as needed.
  • Monitor visitor access.
  • Pick up and sort mail and deliveries.
  • Maintain appointment schedule electronically.
  • Able to maintain a basic database.
  • Maintain a sufficient record of office supplies.
  • Other related duties as required from time to time.


Minimum 2 years of work experience in a receptionist capacity. Post-secondary degree is an asset.

  • Some work or volunteer experience with NGOs, organizations, interest groups and government or government

  • Simply accounting would be an
  • Bilingual
